Admin Assistant

Flexi, part time hours for 3 months FTC

Up to 16 hours a week (days to be agreed)

Office based

As Ignition Collective’s Admin Assistant, no two days will be the same. With over 50 years of combined experience across multiple sectors and working projects across the globe, it’s fair to say we’re not your average marketing agency. We strive to do things differently and are proud of our approach.

From brand identity, social media content, product launches, website design and build, and pretty much everything else we are tasked with - you'll support us with igniting great ideas and literally make marketing happen.

You'll be a vital part of our small team, working with our project directors, graphic designers, and web experts, and most importantly reporting directly to our managing director. If you're organised and focused, this role could be perfect for you.

The Admin Assistant must be:

  • Confident to ask questions and seek invaluable insight from the rest of the team

About the role:

  • Management of digital file storage – filing system, imagery, videography etc

  • Managing the office space and facilities

  • Coordination of office supplies and furniture

  • Financial and HR administration

  • Implementation and maintenance of contacts and suppliers’ log

  • Preparing letters, presentations and reports

  • Implementing and maintaining procedures/office administrative systems

  • Assistance with setting up office processes and service documentation

  • Contacting suppliers and obtaining quotes

  • Assist IC team as required with project-specific tasks

What we are looking for:

  • Relevant admin experience – we are looking for someone who can get us organised!

  • A keen interest in marketing or understanding of a creative agency

  • Attention to detail

  • Ability to prioritise, multi-task, meet deadlines, coordinate own work, and anticipate the needs of others

  • Good interpersonal skills, professional and positive manner

  • A practical approach

  • Be a quick learner with a willingness to get stuck in to get the job done

  • Solid technical skills including internet research, MS Office Suite and/or Google Suite

  • Ability to maintain confidentiality
