The role

We’re looking for an Admin Assistant who is willing to come in and ‘grab the bull by the horns’, maximising internal efficiencies and effectiveness. This rewarding role is about keeping the day-to-day running of the business alive and well, primarily supporting the Managing Director to allow her the time to strategically direct Ignition Collective. 

Finance support

  • Coordinate with external bookkeeper to ensure sales and expenses submissions and cost reconciliations are all completed successfully
  • Manage incoming and outgoing invoices 
  • Implementation and maintenance of contacts and suppliers’ log, including setting up new clients and suppliers
  • Manage PO system, including the implementation of project coding for effective business reporting
  • Manage accounts mailbox 

HR support

  • Manage employee holiday allowances
  • Update and create internal documents such as policies, forms and letters
  • Regularly liaise with our HR consultant
  • Coordinate team performance reviews and training
  • Organise team social days, including Christmas party
  • Managing onboarding process for all new team members

Office operations

  • General management of office space and facilities including the coordination of office supplies and furniture
  • Have main admin responsibilities for internal project management system, ClickUp
  • Managing weekly diary, meetings (on and off-site), agenda setting, minute taking
  • Ensure the office kitchen is always fully stocked including ordering supplies such as coffee, tea, squash, biscuits etc.

What we are looking for

  • Relevant admin experience – we are looking for someone who can get us organised!
  • A practical, organised approach with ruthless efficiency and impeccable attention to detail
  • Ability to prioritise, multi-task, meet deadlines, coordinate own work, and anticipate the needs of others
  • Process driven with strong communication skills 
  • Happy to work within a small, supportive and flexible team
  • A quick learner with a willingness to get stuck in to get the job done
  • Good interpersonal skills, professional and positive manner
  • Solid technical skills including internet research, MS Office Suite and/or Google Suite
  • Ability to maintain confidentiality

Nice to haves

  • Knowledge and experience of company operating systems (Dext, Xero)
  • Knowledge and experience of online communications systems and project management systems, such as Teams and ClickUp
  • Bookkeeping and accountancy experience
  • Experience using Apple computers/laptops
  • A keen interest in marketing or understanding of a creative agency
